How to cover a CSR on maternity or medical leave
Leave has a start date and an end date. That makes it one of the easiest staffing gaps to plan for.
To cover a CSR on leave, start planning as soon as you know the dates. Document their desk, split licensed and unlicensed work, and bring in temporary licensed help for quoting, endorsements and client calls. Under federal FMLA, eligible employees at employers with 50 or more workers can take up to 12 weeks of job-protected leave.
What the law requires
Under the federal Family and Medical Leave Act, eligible employees can take up to 12 workweeks of unpaid, job-protected leave in a 12-month period for the birth of a child, their own serious health condition, or a family member's.
- Employer: private employers with 50 or more employees in 20 or more workweeks in the current or prior year.
- Employee: 12 months with the employer, 1,250 hours in the past 12 months, and a worksite with 50 or more employees within 75 miles.
Many smaller agencies fall below the FMLA threshold, but state leave laws and paid leave programs may still apply. Check your state's rules.
Six weeks before: document the desk
- List every recurring task, how often it happens, and roughly how long it takes.
- Note which tasks need a license.
- List renewals due during the leave.
- Write short notes on key accounts and their preferences.
- Make sure everything lives in the AMS, not in an inbox.
Split the work
| Work | Who covers it |
|---|---|
| Client calls about coverage | Licensed person |
| Endorsements and policy changes | Licensed person |
| Renewal remarketing | Licensed person |
| COIs from existing coverage | Back-office help |
| Downloads and data entry | Back-office help |
| Billing questions | Back-office help or the team |
Two weeks before: start the cover
Overlap matters. A week or two of the cover person working alongside the CSR makes the leave far smoother. Give them their own AMS login, introduce them on key accounts, and agree how work comes in.
During and after
Ask for every action to be logged on the client record. When the CSR returns, run a short handback: open items, changes on key accounts, and renewals coming up next.
Where Humai fits
Humai can match a U.S.-licensed agent to cover the leave, licensed in your state and checked in NIPR. They work in your AMS under your name, for as many hours as the desk needs, and hand back cleanly when your CSR returns.
Questions agency owners ask
Does FMLA apply to my agency?
Federal FMLA covers private employers with 50 or more employees in 20 or more workweeks in the current or prior year. Employees qualify after 12 months and 1,250 hours of work, at a site with 50 or more employees within 75 miles. Many states have their own leave laws that reach smaller employers, so check yours.
How long is maternity leave cover usually needed?
FMLA allows up to 12 workweeks of job-protected leave in a 12-month period. State programs and your own policy may allow more. Plan cover for the full period plus a week or two of handback.
Should I hire a temp or use my existing team?
If your team has real spare capacity, sharing the work can be enough for a short leave. For longer leave, or when the CSR handles licensed work, bring in licensed help so the rest of the team doesn't burn out.
How do I hand the desk back after leave?
Keep every action logged in your AMS during the leave, then hold a handback meeting covering open items, changes on key accounts and renewals coming up.
Can the cover person keep helping after the leave ends?
Often, yes. Some agencies keep a few hours a week of help for overflow or renewal season once the CSR returns.
