How to onboard a remote CSR into your AMS

Most of a remote CSR's ramp time is access and context. Get those right on day one.

Short answer

To onboard a remote CSR, give them their own AMS login with only the permissions their tasks need, set up multi-factor authentication, add them to the carrier portals they'll use, and share your agency's procedures for the first few task types. Start with a narrow scope, review their first jobs, then widen it.

Before day one: access

  • AMS login. Their own named user, never a shared one.
  • Least access. Permissions for their tasks only.
  • Multi-factor authentication on the AMS and email.
  • Carrier portals. Only the carriers they'll work with, through your agency admin.
  • Email and phone. An agency address, and calls routed through your system so clients see your agency.
  • License check. For licensed work, confirm the license, lines and states in NIPR.

Day one: context

  • How work arrives: email, a shared inbox, a queue in the AMS.
  • Your activity and note conventions.
  • Naming rules for attachments.
  • Who to ask, and how fast to escalate.
  • Key accounts that need extra care.

First week: narrow, then wider

  1. Start with two or three task types, such as certificates and simple endorsements.
  2. Review every job for the first few days.
  3. Give feedback the same day.
  4. Add task types as quality holds.

The last day matters too

Write down every system the person has access to as you grant it. On their last day, remove it all from that list. Named logins make this easy.

Where Humai fits

Humai sets up each person with their own Humai login in your AMS. You agree the scope, send work by email or through Vero, and every job is checked and monitored. Licensed agents are checked in NIPR, with identity and background checks done.

Questions agency owners ask

Should a remote CSR share a login with someone else?

No. Every person needs their own login so each action is traceable and access can be removed on their last day.

What AMS permissions should a new CSR get?

Only what their tasks need. For example, someone handling certificates and endorsements doesn't need accounting or agency-wide reporting access.

How do remote CSRs get carrier portal access?

Through each carrier's agency administrator process. Request access only for the carriers the CSR will work with, and use agency-owned accounts.

How do I check a remote CSR's work?

Review every job for the first week or two, then spot check. Ask for every action to be noted on the client record in the AMS.

How fast can a remote CSR be productive?

An experienced CSR who already knows your AMS platform can handle simple tasks quickly once access is set up. Complex accounts take longer and need context from your team.
